Position Overview

The Development Assistant is responsible for assisting the fundraising operations within the agency. The Development Assistant is responsible for all administrative aspects of development and communication activities. The Development Assistant provides administrative support for all aspects of the Fund Development program and assists in all fundraising activities including donor relations, marketing and communications, direct mail appeals, and special events. The Development Assistant reports directly to the Fund Development Director.

Qualifications

  • Excellent written and verbal communication, organization, and interpersonal skills.

  • Excellent knowledge of Microsoft Office Suite (WORD, Excel, Outlook) and Database management experience – NetSuite preferred; knowledge and experience with mail merge procedures and execution.

  • A self-starter, data and deadline driven, and the ability to multi-task with solid organizational and time-management skills.

  • Ability to work effectively with multiple individuals or independently.

  • Performs effectively and professionally under pressure.

  • A positive attitude.

  • Bachelor’s degree.

  • Two or more years of administrative assistant experience (or like position with organizational and writing skills).

  • Meet agency conditions for employment (including valid CA Driver’s License and good driving record).


Responsibilities

Fund Development

  • Collaboratively manages content and updates of agency website.

  • Coordinates publication of semiannual newsletter including proofreading, communicating with graphic designers and printers, and process mailing.

  • Data entry of donations, generate gift reports, prepares weekly donor acknowledgment letters and regular development communications.

  • Assists with fundraising events to include printed materials, logistics and sponsor solicitation; tracks sponsors, guests, and donations.

  • Oversees volunteer outreach and management.

  • Process donations and prepare acknowledgement letters and other correspondence as needed.

  • Create monthly fundraising reports and dashboards.

  • Manage relationships on the database.

  • Maintain foundation, corporation, and individual donor files (on the database and server).

  • Reconcile donations with the Business Office monthly.

  • Handle all administrative details associated with agency meetings (i.e. prepare and distribute notices, agendas, take/draft minutes, refreshments etc.).

  • Manages the mailing of spring and year-end appeal letters; newsletters, and other direct mail pieces.

  • Maintain guest lists, gather and prepare registration materials and other duties as assigned for fundraising events.

  • Prepare media materials for distribution. (i.e. copying, filing, mailing, e-mailing).

  • Assemble media and donor kits for events and meetings.

  • Other duties as assigned.

Administrative

  • Assists with preparation of agenda and packets for each meeting of the Governing Board of Directors, Epiphany League, Administrative Team and maintains necessary records.

  • Attends meetings and records/drafts minutes as requested.

  • Researches and responds to queries (record requests) from former clients and their children.

  • Plans and executes arrangements for meetings and special occasions (set-up, clean-up).

  • Maintains agency calendars.

  • Other duties as assigned.
